Manager of Finance and Administration

TITLE: Manager of Finance and Administration\
SUPERVISOR: Executive Director
FLSA STATUS: Exempt
PURPOSE OF POSITION:

To ensure solid fiscal management of our growing operations and ensure HSCO is positioned for a successful future. This is a unique opportunity to develop our finance/human resources/administration department.

Essential duties and responsibilities include but are not limited to:

Finance/Accounting:

  • Review, Establish and implement policies and procedures for all financial management functions, ensuring appropriate controls and compliance with generally accepted accounting practices (GAAP).
  • Maintain systems to provide critical financial and operational information to the senior staff, Executive Director, Finance Committee, and Board of Directors, including producing financial reports.
  • Lead annual budgeting and planning process in coordination with executive director and senior staff.
  • General ledger entry and reconciliation, accounts payable and receivable, fixed assets, bi-monthly payroll and monthly financial reporting preparation in QuickBooks.
  • Ensure successful completion of annual audits (when required), Form 990 and other IRS filings, and all other mandated financial reports.
  • Serve as the liaison to the Finance Committee, including coordination of, and participation in, Finance Committee meetings.

Human Resources:

  • Responsible for the overall administration, coordination, and evaluation of the human resources department, including working with direct supervisors; employee relations; benefits; compensation; and compliance with all federal, state, and local employment laws.
  • Work with senior staff to develop, recommend, and implement personnel policies and procedures to achieve continual improvements to the effectiveness of the department and services.
  • Processes new employee enrollment, including inputs to Bamboo HR.
  • Administers employee health, short-term disability, worker’s comp and retirement benefits.
  • Processes all timesheets for payroll, accurately accrues or debits staff PTO accounts, files quarterly payroll taxes, monitors and applies garnishments, administers W2 reporting.
  • Maintains employee files, keeping paperwork up to date and staying on top of filing.

Information Technology:

  • Manages Server and Mail hosting system for organization.
  • Works with IT consultants to troubleshoot systems, hardware and software.
  • Maintains compliance with banking regulations and credit card processing requirements for organization.

Administration Support:

  • Accountable for the effectiveness of administrative procedures and systems including office equipment and phone system.
  • Lead special projects as assigned by the Executive Director.
  • Adapt to changing responsibilities or procedures as deemed appropriate by the Executive Director and work with Executive Director to evolve the Finance/HR/Administration department as the organization grows.
  • Maintains records and documents as outlined by the record retention schedule.

Minimum Qualifications:

  • Bachelor’s Degree from an accredited university in accounting, finance, business and 5 years increasing experience in accounting and fiscal management. Experience should include legal, audit, compliance, budget, and resource development.
  • Working knowledge of accounting practices, including the ability to accurately calculate figures and read financial records.
  • Must have excellent verbal and writing skills and be able to communicate with the public and all staff in a consistently positive and professional manner.
  • Must be able to work independently as well as function as a contributing member of the management team.

Benefits:

Minimum Starting Salary: $53,000

Animal Care Attendant FT

The Humane Society of Central Oregon (HSCO) has a full-time position open for an energetic individual with compassion for animals. Join our team and help make a difference in your community! HSCO is the only open admission animal shelter in Central Oregon and cares for approximately 3,000 animals every year.

Position entails maintaining HSCO canine population, including but not limited to:
• Daily monitoring for health and behavior.
• Cleaning and sanitizing dog kennels.
• Providing enrichment (toys, walks, and playtime.)
• Daily feeding.

The ideal candidate for this position has a great attitude and can work in a fast paced, changing, and sometimes stressful environment. They understand the importance of their job and that the health and wellbeing on the animals in HSCO’s care starts with them.
Schedule includes early mornings, weekend days, and sometimes holidays. Pay range is $11.25 to $14/hr and is DOE. Health benefits after 90days are 100% paid for by HSCO.

Veterinary Assistant (Bend Spay/Neuter) FT

The Bend Spay and Neuter Program (BSN) of the Humane Society of Central Oregon (HSCO) is currently hiring a full-time Veterinary Assistant for our clinic location in SE Bend! BSN is a high-quality, high-volume spay and neuter clinic offering affordable surgeries and preventive veterinary wellness services to our community to help keep pets and people together.

The Veterinary Assistant (VA) is responsible supporting clinic veterinarians (DVM) and certified veterinary technicians (CVT) in the daily operations of a high quality, high volume spay/neuter clinic. We are looking for someone with excellent multi-tasking skills, as well as someone with a positive attitude and a genuine love of animals and veterinary medicine.
